We’ve put together a straightforward event run sheet template to help you stay organised before and during your event. It’s a clean, editable spreadsheet with enough structure to keep things on track, without getting overly complicated.
The layout is simple on purpose. It’s designed to be something you can open, edit, and share with your team or suppliers right away. The spreadsheet covers the essentials:
Date and Time
For each item in the schedule, from bump-in to bump out.
Responsible Party and Contact Info
So everyone knows who’s doing what.
Comments
A space to note changes, reminders, or extra detail.
Colour Coded Sections
Pre-formatted so different contributors (e.g. Sidestage, catering, venue) are easy to spot.
We’ve also included some sample entries based on a typical event setup, including activities like supplier arrivals, lighting checks, and catering bump-in, all oriented around Sidestage as a supplier.
If you're working with multiple teams, we suggest hosting the file on a shared cloud platform like Google Drive or Dropbox. That way, any updates only need to be entered once, and everyone stays in the loop automatically. It avoids confusion over versions and helps the whole crew stay aligned!
Then, on the day, print a few copies and distribute them during the initial briefing. Having a consistent, easy-to-read reference on paper makes a big difference once things start moving quickly.
